How we handle your information when you book online, message us, or visit DM Care Hospitals.

This Privacy Policy explains how DM Care Hospitals (“DM Care Hospitals”, “we”, “us”) collects and uses personal information in connection with our hospital website, online appointment booking, and related communications. It is written for patients and visitors in India.

1. Who we are

2. Information we collect

Depending on how you use our services, we may collect:

  • Booking details — name, phone / WhatsApp number, age, gender, address / area, city, pincode, optional email, preferred department, visit date and time slot, and reason for visit.
  • Payment references — UPI payment amount, UTR / UPI reference number, payment status, and token number. We do not store your full UPI PIN, card number, or bank password.
  • Clinic operations data — appointment status, verification notes, and patient contact details (address, reason for visit) needed to run your visit.
  • Technical data — basic server logs (IP address, browser type, pages visited) for security and reliability.
  • Messages you send — WhatsApp, phone, or email content you choose to share with us.

3. Why we use your information

  • To create, confirm, and manage appointments and clinic tokens.
  • To verify consultation-fee payments made via UPI.
  • To contact you about your booking, rescheduling, or follow-up.
  • To improve clinic scheduling and reduce no-shows.
  • To meet legal, clinical-record, and accounting obligations.
  • To protect the website against abuse and fraud.

We process this information because it is necessary to provide the booking service you request, to run the clinic, and where required by applicable Indian law (including the Information Technology Act, 2000 and related rules on sensitive personal data).

4. Online appointment booking & payments

When you book online, you create a pending booking, pay the stated consultation fee using our clinic UPI QR, and submit the UTR. Staff may manually verify the UTR. Your booking details and payment reference are stored in our clinic systems so we can issue a token and greet you at the desk.

UPI payments are processed by your bank / UPI app (for example PhonePe, Google Pay, Paytm). Those providers have their own privacy policies. We only receive the payment confirmation details you enter (UTR) and our settlement records.

5. Sharing

We do not sell your personal information. We may share limited data with:

  • Clinic staff (doctors, reception) who need it for your visit.
  • Infrastructure providers that host our website and database, under confidentiality obligations.
  • Authorities when required by law or to protect patient / clinic safety.

6. Retention

We keep appointment and payment-reference records for as long as needed for clinical operations, dispute resolution, and legal / accounting retention periods, then delete or anonymise them where practicable. Server logs are kept for a shorter operational window.

7. Security

We use access controls, encrypted connections (HTTPS), hashed staff passwords, and role-based access in the clinic desk. No method of transmission or storage is perfectly secure; please use a private device when entering payment references.

8. Your choices

  • You may book by phone or WhatsApp instead of the online form.
  • You may ask us to correct inaccurate booking details or cancel a visit before it occurs.
  • For access or deletion requests related to online booking data, contact the clinic using the details below. Clinical medical records may be retained as required by professional and legal standards.

9. Children

Parents or guardians should complete bookings for minors. If you believe we have collected a child’s data without appropriate consent, contact us and we will address it promptly.

10. Cookies & local storage

We may use essential cookies or session storage for language preference, session security on the staff desk, and a short “already visited” flag for the site intro animation. We do not use advertising trackers on the public booking flow.

11. Changes

We may update this policy as our booking tools or legal requirements change. The “Last updated” date at the top will reflect the latest version. Continued use of online booking after changes means you accept the updated policy.
